1. Who operates ClearRounds?

ClearRounds is a window-cleaning business management application currently in development. The marketing website is operated by John Samphier, trading as ClearRounds as a sole trader.

2. Information we collect

When you submit the early-access form, we may collect your name, email address, business size, feature interests and whether you opted in to optional promotional emails. Please do not submit sensitive or confidential information through the form.

3. How we use your information

We use your information to record and manage your early-access request, contact you about access to ClearRounds and its launch, and respond to relevant enquiries. If you separately opt in, we may also send optional promotional emails about product updates, features and launch news. The optional marketing checkbox is not required to register interest in early access.

4. Lawful basis

We will document the appropriate lawful basis for each use of personal information under UK data protection law. This may include taking steps at your request, legitimate interests in managing early-access enquiries, and consent where appropriate. Where consent is required for electronic marketing, we will obtain and record it separately. You can withdraw marketing consent at any time.

5. How information is stored and shared

The marketing website is hosted by Netlify and uses Netlify Forms to collect submissions. Netlify may process information to provide these services. We will review the relevant service terms, privacy information, security, retention arrangements and any applicable international data transfers. We do not sell your personal information or share it with unrelated third parties for their own marketing purposes.

6. Retention

Our intended retention period for early-access information is 12 months after the last meaningful contact. We will then delete it unless there is a valid legal or operational reason to retain it longer. We will review stored information periodically and delete information when it is no longer required. We will also manage marketing consent records and suppression records as needed to respect opt-outs and meet legal obligations.

7. Your rights

Depending on the circumstances, you may have rights to access your information, correct inaccurate information, request deletion or restriction, object to certain processing, and withdraw consent where processing relies on consent. You can also complain to the UK Information Commissioner's Office (ICO) at ico.org.uk.

8. Email communications

You may receive messages needed to respond to your early-access request. Optional promotional emails are sent only where the required permission or other lawful basis applies. Promotional emails will include an unsubscribe method. Unsubscribing from promotional emails does not affect necessary communications about an existing request.

9. Cookies and website technologies

We will review cookies, analytics and other technologies used by this website and its providers. Where required, we will provide additional information and obtain consent before using non-essential cookies or similar technologies.

10. Changes to this notice

We may update this notice as ClearRounds develops. The latest version will be published on this page with an updated date.
